How a Mastodon AI implementation actually runs.

Six phases. Roughly 90 days from first call to a system you can rely on without us. No pilots that never go to production. No PowerPoint decks that never ship. We build, deploy, measure, and stand watch.

  1. 01

    Discovery (week 1)

    We sit with you and map the bottleneck. Where do leads leak. Which tasks pull your team off real work. What does your CRM say versus what your bank says. We document the existing process and the tools you already pay for, because the cheapest AI you will ever buy is the one you already own and forgot about.

    Deliverable: Process map, tool inventory, baseline numbers.

  2. 02

    Scope (week 2)

    We write a one-page spec. Plain language. What gets built, what it costs, and how we will know it worked in 30, 60, and 90 days. If you are spending more than $5,000 on something and cannot articulate the success metric in one sentence, you are buying hope.

    Deliverable: Spec doc with measurable acceptance criteria.

  3. 03

    Build (weeks 3 to 6)

    We construct the system, integrate it with your CRM, phone, and email, then run it in shadow mode. Shadow mode means the AI sees real traffic but does not respond live yet. We compare what it would have done to what your team actually does. We tune. Then we go live.

    Deliverable: Working system, shadow-mode logs, comparison report.

  4. 04

    Train (week 7)

    Your team learns the handoffs. When does the AI route a conversation to a human. What does the team see when that happens. What does the customer see. We document all of it as written SOPs that live outside our heads and yours.

    Deliverable: Team training session, written SOPs, escalation playbook.

  5. 05

    Standwatch (weeks 8 to 12)

    We sit on top of the system for 90 days. Weekly tuning, weekly review, monthly dashboard. This is where most AI projects die in the wild because nobody runs them after launch. We do.

    Deliverable: Weekly tuning log, monthly performance report, 90-day outcomes.

  6. 06

    Handoff or stay

    After 90 days the system is documented, your team owns the handoffs, and you have data on what it earned. Most clients keep us on a monthly retainer for optimization and reporting. Some take the keys. Both are fine. We do not lock you in.

    Deliverable: Optionally an ongoing retainer, or a clean handoff package.
