Pillar 2 of 4

AI for Sales.

Lead routing, multi-channel follow-up, qualification bots, proposal drafting, CRM hygiene. We take the wait out of the funnel so your sales team only talks to leads that are ready.

TL;DR

What this pillar actually does.

AI for sales is the layer that compresses the gap between lead capture and sales conversation. Six workstreams: lead routing (right rep, right priority, in seconds), multi-channel follow-up (SMS + email + voicemail drop, all instant), qualification bots (screen against your criteria before humans pick up), lead scoring (behavioral + demographic, prioritized by likelihood-to-close), proposal automation (drafted in your voice, with the right case studies, in minutes), and CRM hygiene (the unsung work that makes everything else possible). What we aim for: response time cut from hours to seconds, more leads reaching a booked meeting, a better show rate on those meetings, and less time per proposal. Sales reps stop chasing dead leads and start closing warm ones.

The six workstreams in detail.

1. Lead routing

Inbound lead from anywhere (form, call, chat, email, integration) gets to the right rep in seconds. Priority weighting by source, vertical, deal size, geography, or any criteria you care about.

  • Multi-source ingestion: web forms, Zillow, Realtor.com, paid ads, chat, SMS, voice, third-party platforms
  • Round-robin or weighted routing across reps
  • Priority bumps for high-value or high-intent leads
  • Re-routing if first rep does not respond in 5 minutes (the "lead leak" plug)
  • Geographic + vertical specialization routing

2. Multi-channel follow-up

Inbound leads typically respond best to multi-touch within the first hour. AI fires SMS + email + voicemail drop in parallel within seconds, then sequences over days if no response.

  • SMS first (fastest channel, within seconds)
  • Email second (more detail, 2-minute delay)
  • Voicemail drop third (humanizes, 1-hour delay if no response)
  • Day-2 nudge, day-5 break-up, day-14 long-form value, day-30 final touch
  • A2P 10DLC compliant SMS so messages always land
  • Stops sequence on any reply, hand-off to rep

3. Qualification bots

Conversational AI that asks the qualifying questions your sales rep would ask, before the rep picks up. Saves rep time on unqualified leads.

  • Greets every inbound lead within seconds via web chat, SMS, or voice
  • Asks a few qualifying questions in your brand voice (budget, timeline, scope, fit)
  • Scores against your defined criteria
  • Routes hot leads to a human via your preferred channel (Slack, email, SMS, ring)
  • Sends cold leads into nurture with appropriate cadence
  • Logs everything in CRM with score, full conversation, routing decision

4. Lead scoring

Behavioral and demographic scoring so reps spend time where it pays. Scores update in real time as leads engage (or don't).

  • Demographic score: industry, company size, geography, role, budget range
  • Behavioral score: pages visited, time on site, return visits, content downloaded, emails opened
  • Engagement decay: scores drop if no activity over time
  • Re-scoring on every interaction
  • Threshold-based alerts: "this lead just crossed 80, ring them"

5. Proposal automation

AI assembles your standard sections, customizes for the prospect's vertical, pulls the right case studies and references, produces a first draft in your brand voice in minutes.

  • Modular proposal library: scope sections, terms, case studies, team bios, methodology
  • Vertical-specific case study pulling (restoration client = restoration cases)
  • Pricing options pre-filled from your scoping conversation
  • Branded PDF or PandaDoc export
  • Time-to-proposal: from hours to minutes
  • Sales lead reviews + ships, AI never sends without approval

6. CRM hygiene

The unsung work. Dirty CRM data kills every downstream sales process. AI dedupes contacts, normalizes phone numbers and addresses, fills missing fields from public sources, flags stale records.

  • Dedupe: AI fuzzy-matches across phone, email, name combos
  • Normalization: phone numbers to international format, addresses to USPS format, names to title case
  • Enrichment: missing company size, industry, website pulled from Clearbit or similar
  • Stale-record flagging: long-inactive leads surfaced for review
  • Pipeline stage hygiene: AI flags deals stuck in a stage too long

Tools we use, by workstream.

CRM platforms

  • HighLevel, our default for SMBs (bundles CRM + SMS + voice + landing pages + email)
  • HubSpot, when client wants enterprise CRM with broad ecosystem
  • Pipedrive, for sales-led teams that don't need marketing automation bundled
  • Salesforce, for mid-market and up

Outreach + sequencing

  • Apollo.io, lead gen + outbound + sequencing
  • Lemlist, personalized outbound campaigns
  • Outreach.io or Salesloft, enterprise sales cadence
  • HighLevel sequences, included, for SMBs on the HighLevel stack

AI qualification + scoring

  • Structurely or Drift, AI conversational qualification
  • Clay, AI-driven lead research + enrichment + scoring
  • Custom GPT/Claude bots, when off-the-shelf doesn't fit

Proposal + document automation

  • PandaDoc, e-sign + proposal templates
  • Better Proposals, alternative
  • Custom AI on Claude API + PandaDoc, pay-as-you-go, for bespoke proposal flows

Numbers that move.

  • Response time to inbound: from hours to seconds
  • Follow-up coverage: the share of leads worked correctly
  • Lead-to-meeting rate: tracked against your baseline
  • Time per proposal: down, measured per deal
  • Show rate on booked meetings: up (AI reminders drive this)
  • Sales rep time on unqualified leads: down
  • CRM data quality: from "uncomfortable to look at" to "trustworthy"

What we ship first.

  1. First: CRM hygiene + lead routing. Foundation everything else depends on.
  2. Second: Multi-channel follow-up. SMS + email + voicemail sequences live.
  3. Third: Qualification bot. Web chat or SMS first, voice if call volume warrants.
  4. Fourth: Lead scoring + proposal automation.
  5. Fifth: Standwatch + tuning + dashboards.

Common mistakes we see (and fix).

  1. Skipping CRM hygiene. Building automation on dirty data is the fastest way to break the trust of the sales team. We always start here.
  2. Over-automating outbound. AI-personalized at scale is fine. Mass-spammy "Hi [FirstName]" template-blast emails are not. We refuse to build them.
  3. No human in the loop on proposals. AI drafts. Humans send. Always. Proposals are the highest-stakes moment in the sales process; AI alone is not the right risk profile.
  4. Trusting platform attribution alone. Sales platforms over-credit themselves. We layer in independent reporting (CRM + call tracking + dashboard).
  5. Scoring without thresholds. A score is useful only if it triggers something. "Lead crossed 80? Ring them." Otherwise the score is decoration.
  6. Killing the slow-burn leads too fast. Some buyers take months. AI nurture without sales rep time is how you stay in mind without burning rep hours.

Common questions.

What CRMs do you implement?

Most of our deployments run on HighLevel because the SMB economics are strongest there. We also implement on HubSpot, Pipedrive, and Salesforce when the client already has them. We do not switch CRMs unless the math is obvious.

Can AI write proposals?

Yes, drafted not finished. AI assembles your standard sections, pulls the right case studies for the prospect's vertical, and produces a first draft in the client's brand voice in minutes. Your sales lead reviews and ships.

How much does AI for sales cost?

AI implementation is custom-priced and quoted per business after a short call. A single playbook (just lead qualification or just proposal automation) and a full sales build (lead routing + qualification + follow-up + proposal automation + dashboards) are scoped differently, based on integrations and volume. The Starter plan is $397 a month and covers a website, light SEO and AI-SEO, Google Business Profile optimization and LeadExploder access. Ad management is an add-on from $500 a month per channel plus ad spend.

Will AI hurt close rates?

No, when configured right. The AI handles intake and qualification. Humans handle the closing conversation. We have not seen a deployment where close rate dropped, and most see it improve because reps spend time on warmer leads.

What's the difference between AI sales tools and AI sales implementation?

Tools (Clay, Lemlist, Apollo) generate leads and personalize outreach. Implementation builds the system around the tools: CRM routing, qualification logic, follow-up cadences, escalation paths, reporting. Tools without implementation often sit unused. Implementation without tools is just consulting.

How does AI improve sales response time?

By taking the wait out of the funnel. AI routes a new lead, qualifies it against your criteria, fires the first follow-up (SMS, email, voicemail drop) within seconds, and books a calendar slot when intent is clear.

Do you integrate with our existing CRM?

Yes, unless switching is genuinely better. We default to working with what you have.

What about cold outbound?

We do warm-channel AI-personalized outbound (Clay + Apollo + custom). We do not do mass-spam outbound.
